Route Optimisation Against Order Book

HublerX generates optimised delivery routes against the confirmed order book — balancing vehicle capacity, delivery windows, outlet priority, and driver availability — automatically, before the first truck leaves the depot.

The Problem

Routes are planned in a spreadsheet. Trucks leave half-full. Deliveries arrive late.

Most FMCG distribution operations plan routes manually — a logistics coordinator looks at the day's confirmed orders, groups them by geography in a spreadsheet, and assigns trucks based on available capacity and driver availability. The process takes 2–3 hours every morning, produces routes that are geographically sensible but rarely optimised, and does not account for delivery time windows, vehicle load capacity, or outlet priority.

The result is visible at day end — trucks returning with unsold load, outlets missing their delivery window, and a logistics cost per case that is higher than it needs to be. The OTIF score records the failures. The root cause is a planning process that cannot process enough variables to produce an optimal route.

Current Workaround
What most operations do today: Most operations today: the logistics coordinator downloads the confirmed order list from the ERP or a separate order management system, opens a Google Maps tab and a spreadsheet, and manually groups orders into routes by area. Vehicle capacity is checked by mental arithmetic. Delivery time windows — if they exist — are noted in a separate column and checked manually. The final route plan is shared with drivers over WhatsApp. Changes to the order book after the routes are published — a new urgent order, a cancelled delivery — are handled informally, often by the coordinator calling the driver on the road.
The HublerX Approach

Route optimisation is a constraint satisfaction problem — outlets, orders, vehicle capacities, delivery windows, and driver shifts are all known inputs. HublerX reads the confirmed order book from the ERP, applies vehicle capacity and delivery window constraints, and generates optimised routes automatically — minimising total distance, maximising vehicle utilisation, and protecting delivery windows for priority outlets. When a new order arrives or a delivery is cancelled after routes are published, HublerX recalculates the affected route and notifies the driver.

How HublerX Coordinates It

The step-by-step sequence

  1. 1

Confirmed order book read from ERP

HublerX reads all confirmed sales orders for the day — from the ERP, WhatsApp order capture, or van sales app — and consolidates them into a single order book. Orders are enriched with outlet location, delivery window, and priority tier automatically.

    Automatic · 5:00 AM daily
  2. 2

    Vehicle and driver availability confirmed

Available vehicles — by capacity, type, and refrigeration requirement — and driver shift availability are read from the fleet management system or confirmed manually in HublerX. Any vehicles under maintenance or drivers on leave are excluded from the plan.

    On fleet confirmation · pre-departure
  3. 3

    Optimised routes generated

HublerX generates the optimal route plan — grouping orders by geography, vehicle capacity, and delivery window. Routes are sequenced to minimise total distance, maximise vehicle fill, and protect time-window-constrained outlets. The plan is generated in seconds, not hours.

    Automatic · 5:30 AM daily
  4. 4

Routes reviewed and confirmed by coordinator

The logistics coordinator reviews the generated routes on the HublerX dashboard — with total distance, vehicle utilisation, and delivery window compliance visible for each route. Manual adjustments can be made before routes are published to drivers.

    Coordinator review · 6:00–6:30 AM
  5. 5

    Routes published to drivers

Confirmed routes are pushed to the driver's mobile app — with the outlet sequence, delivery quantities, customer contact details, and any special delivery instructions. Drivers receive their full route digitally, not as a paper route card or WhatsApp message.

On coordinator approval · 6:30 AM
  6. 6

    Live route tracking and re-optimisation

During the day, HublerX tracks each vehicle's progress against the planned route. When a new urgent order arrives or a delivery is cancelled, the affected route is re-optimised and the driver's app is updated. The coordinator has a live view of all vehicles, delivery status, and any exceptions.

Outcomes
15 min
Route plan generated from confirmed order book — vs. 2-hour manual planning process
91%+
Average vehicle fill on optimised routes — vs. 74% on manually planned routes
Real time
Window breach risks detected and routes resequenced during delivery — before the window closes
Digital
Driver routes, POD capture, and ERP updates — no paper route cards or end-of-day data entry

Results are directional. Vehicle fill and OTIF outcomes vary by order density, geography, delivery window constraints, and fleet configuration.
